BYBA Policies


REGISTRATION FEES AND REFUNDS
  • The Beaumont Youth Basketball Association will only accept online credit card payments for registration fees. 
  • A late player registration fee of $30.00 per player may be charged after the last registration date. Late registration will only occur if there is sufficient room for them in the program.
  • FAMILY DISCOUNTS; A discount of 10% off of registration fees for the 3rd child and any subsequent children within the same family. 
  • There will be an automatic fee of $25.00 applied against all registration fee refunds.
  • Winter/Fall Season refund policy
  • For 11U-18U, refunds will only be processed until the first scheduled regular season game of the players assigned team, after which no refunds will be made. No refunds will be provided without the return of the BYBA uniform.
  • For 9U, refunds will only be processed until the first week of the program, after which no refunds will be made. 
  • Camps and Clinic refund policy
  • Refunds will be granted on cancellation requests received 14 days prior to the first day of the registered camp.
  • A 50% cancellation fee will be levied on all cancellation requests received between 1 and 13 days prior to the first day of the registered camp.
  • Once a camp has begun, refunds will not be granted except in the case of extenuating circumstances.
    1. Requests for refunds must be made in writing to registrar@byba.ca.    
    2. In the event that a cheque is approved for payment. There will be a $25 surcharge for any NSF cheques provided to the BYBA.   
PLAYER ACCEPTANCE CRITERIA
  1. The order in which Beaumont community youths register is the order in which they are assigned to teams (first come, first serve).
  2. Beaumont Community Youths are accepted before non-Beaumont community youths.
    1. Beaumont Community youths are any individual under the age of 18 years who either: 
      1. lives within the town of Beaumont or our designated boundary 
      2. attends a Beaumont school.
      3. Resides within a community that does not offer a local youth basketball program. 
  3. Non-Beaumont Community Youth with grandfather status are treated as Beaumont Community Youth.
    1. grandfather status is applied to any registrant that is a non-Beaumont Community Youth and was registered with the BYBA for the previous Fall/Winter regular season. The grandfathered status will apply to siblings of that grandfathered player.
  4. Registrations for non-Beaumont community youth are held in waiting until after the final registration is closed, at which time a release must be submitted, and will be placed on a team, if space is available based on the Team Size Criteria.
  5. Players cannot play for the High School Senior team at the same time as a BYBA team.
TEAM SIZE AND TEAM ASSIGNMENTS
 
  1. BYBA community teams are made to be inclusive of all registrants regardless of experience. BYBA does its best to create community teams based on many factors, including (but not restricted to):
  • friend requests.
  • restrictions to practice nights
  • experience on former BYBA teams.
  • date of birth
  • health concerns
  • school attended.
  1. If numbers are such for 2 or more teams - to the extent that it can be done teams will be divided:
  • U9 will be divided evenly by age.  
  • U11, U13, U15, U18 teams will be divided based on skill-level once player evaluations have been conducted.
  1. Consideration will be given to special requests made during registration. Any consideration request after will need to be approved by the Board and will only occur during the month of September.
  2. Once the community teams are released to coaches and players in or around mid-September, requests to move teams must be made to the BYBA executives. Requests to move teams will only be considered in the following circumstances:
  • conflicts with practice or game nights 
  • as required by the BYBA executives to balance team numbers.
  1. BYBA will not consider requests to move players if:
    • it would result in the team exceeding the established team size, as determined by BYBA executives (i.e. the team is already full). Note, if a volunteer can be found to trade teams with the requesting player, the request can be considered.
    • the request is based on preference expressed for an alternate coach or teammates, or level of play (tiering).
  2. Each team will consist of the following:
  • U9 and U11: a minimum of 7 registered players and a maximum of 10 registered players.
  • U13, U15, and U18: a minimum of 9 registered players and a maximum of 12 registered players.
    1. Exceptions for team size greater than 10 or 12 players, (based on age-category), will be considered on a case-by-case basis by the Board in consultation with the coach of the team.
  • COMPETITIVE TEAM(S) FORMATION 
        • The Competitive program is a division which requires higher commitment levels by players, their parents, and coaches. 
          1. Games are held on weekdays
          2. May have up to two practices each week.
  • Players who wish to be considered for the competitive tiers must make it known on their registration or prior to evaluations. 
  • Team formation will be based on an evaluation of a player’s skill and positional fit on the team during evaluations.
  • All registered BYBA players who wish to play on the competitive team at 13U or 15U level must attend all age appropriate evaluations.
  • Players must be registered with BYBA for the current season to attend evaluations (fees must be paid, or proof of KidSport or Jumpstart funding applied for). Players must be eligible to play for BYBA to attend evaluations (i.e. out of zone players must have releases completed). This does not apply to those players that have grandfather status with the BYBA.
  • In the case of a player being unable to attend any (or all) evaluations, but wish to be considered for the competitive team, the Evaluation team may choose to allow an exemption, providing the following condition is met: 
  • They must contact the president or vice president before the tryouts for approval. 
  • Approval will not be given at the time of evaluations or after the evaluations have taken place (i.e., forgetting about the evaluation date or late registration will not be a sufficient reason for consideration).?? 
    1. MOVING UP DIVISIONS 
    1. Occasionally players wish to go up a division, for a variety of reasons.  Although BYBA encourages players to remain in their age-appropriate division for optimal basketball development, BYBA recognizes there may be extenuating circumstances causing a player to wish to go up a division.  Players may NEVER go down a division.
    2. If a player wishes to go up a division the following must be met:
      1. The player must have played for BYBA previously.
      2. The player must register in the age-appropriate division, and then must contact a member of the executive board with the reason for the request.
      3. The request will only be considered if there is room in the division at the time registration officially closes - BYBA will not allow a player to move up and bump out a player of the correct age.
      4. The player must go to the Evaluations of their own age bracket, if available, for assessment. 
      5. The assessment will be completed by the Evaluation team as to their suitability to go up a division.
      6. Evaluation team will consist of coaches and executive members who conduct the evaluations.
      7. The player age-appropriate category does not drop below the minimum number of players to form a team.
      8. Players will not be eligible to go to a higher division into the competitive category (they must be placed on a community team).
      9. If a team is minus a coach and a younger player’s parent is willing to move up with their child, provided it is approved by the executive, that player will be permitted to move up an age-category and the parent will coach the team.
    COACHING AND ASSISTANT COACHING POSITIONS
    1. The BYBA will practice the Responsible Coaching Movement, including the Rule of Two, background screening and ethics training
    2. Coaching and assistant coaching staff positions will be given to parent volunteers who have a player registered in the BYBA or previous/existing coaches.
    3. The assignment of coaches should occur once the team rosters have been set. The recruitment of coaching candidates should commence in the spring and conclude following the registration deadline.
    4. In some instances, it is difficult to find coaches with experience in the game of basketball. BYBA is committed to providing the best coaching available in basketball, encouraging coaches to take the National Coach Certification Program, and providing the necessary support for coaches throughout the basketball season. BYBA is willing to sponsor any coach with the financial support necessary to take the NCCP Basketball courses with approval from the Executive Board. Coaches may submit the receipts to the treasurer for reimbursement, in some cases a commitment to coaching for the BYBA may be necessary.
    5. If the Board cannot fill a coaching or assistant coaching position with a parent volunteer, positions will be given to Beaumont Community members with a reference from a parent or a Board member registered with the BYBA. 
    6. Coaches registering from outside of the Beaumont community and do not have a personal reference from a BYBA registered member will undergo a reference check, background check, and interview prior any contact with players.
    7. Coaches that are not parent volunteers, have coached in the BYBA in the past and are in good standing with the BYBA will not have to interview each year.
    8. BYBA coaches are required to do the following:
    9. Be a resource person able to assist the athlete to develop his/her athletic potential and self-dependency.
    10. Recognize individual differences in athletes and always think of the athlete’s long-term best interest.
    11. Aim for excellence based upon realistic goals and the athletes’ growth and development.
    12. Lead by example by teaching and practice co-operation, self-discipline, respect for officials and opponents and proper attitudes in language, dress, and deportment.
    13. Make sport challenging and fun. Skill need not be learned painfully.
    14. Be honest and consistent with athletes. They appreciate knowing where they stand.
    15. Be prepared to interact with league officials and parents. They too have important roles to play in the sport.
    16. Coaching involves training by responsible people who are flexible and willing to continually learn and develop.
    17. Remember that children play for fun and enjoyment and that winning is only part of it.
    18. Never ridicule or yell at the players for making mistakes or losing a competition. Develop team respect for the ability of opponents, as well as for the judgment of officials and opposing coaches.
    19. Abide by the EYBA Code of Conduct
    20. BYBA has the right to ask any coach to step down without appeal if they feel there has been any action that could cause conflict within BYBA or EYBA or if they feel the Coach has conducted themselves in a manner not acceptable to the association.
    21. Any complaints about coaching must be received in writing by following the General issues, concerns and grievances policy.

    CRIMINAL RECORD CHECKS
      1. All members, including Coaches, assistant coaches, and team managers, involved with youth in the Beaumont Youth Basketball Association are required to complete a Criminal Record Check prior to working with the youth. 
      2.  The BYBA Vice-President will be responsible for receiving the completed checks, confirming that no criminal record exists, and keeping accurate records for future reference. 
      3. In the event that there is a concern, the Vice-President will bring the matter forth to the BYBA Board for a determination on a course of action.
      4. A Criminal Record Check will be considered valid for a two-year period, at which time they must be completed anew.
      5. The cost, if any, for the Criminal Record Check will be covered by the BYBA.
    GENERAL ISSUES, CONCERNS, AND GRIEVANCES
    • A 24-hour waiting period rule is required subsequent to any incident.
    • After the 24-hour waiting period, the player and/or parent discusses the incident with the Head Coach and/or Manager of the Team. If the issue is resolved, then the review is complete.
    • If the issue is not resolved, then the issue is put into writing with the “Incident Reporting Form” and submitted within 48 hours of the incident. The complaint will be reviewed and a resolution of the issue will be attempted. If the issue is resolved, then the review is complete.
    • If the issue is not resolved, then any party may appeal the decision of the Discipline Committee. An appeal fee of $100, payable to Beaumont Youth Basketball Association must be submitted with the “Notice of Appeal to the Discipline Committee” form and any additional information within seven (7) days of the written decision of the President. The submission will be forwarded to the Chair of the Discipline Committee.
    • The Discipline Committee is composed of three (3) members of the BYBA Executive committee and will include either the President or Vice President. All members of the Discipline Committee will have no personal relationship or common interest with the affected parties; and are free of any actual or perceived bias or conflict surrounding the appeal. The Discipline Committee has the ability to call a hearing to review the appeal. All affected parties are required to be advised of the hearing and have the ability to attend the hearing.
    • The Discipline Committee will investigate the complaint and provide a decision in writing to the previously established affected parties within ten (10) days of the date the office received the Notice of Appeal to the Discipline Committee form.
    • After this step the review is complete, and the decision is final.
    PLAYER SAFETY AND CONCUSSION PROTOCOL
     
    1. Player safety is of the utmost importance.
    2. Each team will be provided a first aid bag along with an emergency action plan, that must be kept current.
    3. All coaches will be required to complete a free player safety and concussion protocol training.
    4. Any athlete with a suspected concussion should be IMMEDIATELY REMOVED FROM PLAY, and coaches should do a concussion assessment.
    5. If the player is assessed with a suspected concussion the player will need to be assessed medically for diagnosis and guidance as well as a return to play decisions, even if the symptoms are no longer present.
    6. Any player that has been assessed with a suspected concussion and medically diagnosed with a concussion will need to be medically cleared by the diagnosing physician and must provide a Return to Play form to the BYBA prior to returning to practices or games.
    PARENT VOLUNTEER POLICY
      1. Families of 11U-18U players are required to complete the volunteer commitment per family for the BYBA organization.  This commitment can include the following but not limited to; Scorekeeping and time keeping, fundraising, or running the organization. 
      2. Examples of fundraising volunteer activities include bingos and casinos or bottle drives when these opportunities arise parents will be contacted. 
      3. We also have limited opportunities to volunteer to support the running of the organization, such as helping executives with specific activities or tasks, being a member of the executive board, or being a head/assistant coach or team manager.
      4. It is the parent’s responsibility to replace themself if they cannot make the commitment they signed up for.  If they do not attend or arrange for a replacement, the following process will be used:
      5. A $100 volunteer fee will be added to the account.
      6. The account holder will be notified of this fee via email, with a deadline to pay within 15 days.
      7. The child(ren) will not be able to play after the deadline until payment (or arrangements for payment have been made with BYBA executives).
      8. If there is an alternative volunteer option available, the fee may be removed from their account after the volunteer effort is completed and approved by the BYBA executives.
